HCM Users (HCM Administration) ​

This page documents the shipped HCM Users screen (hcm-admin-console) — the place an administrator manages the login accounts that can use HCM. Not for plugin developers.

The list ​

Search by name, email or username, and filter by status (Active, Pending Activation, Inactive, Locked, Disabled, Suspended, Password Expired). The grid shows Username, Email, Mobile, Status and Created date — real accounts, not a sample list. Tick several rows to run a bulk action: Activate, Deactivate, Lock, Unlock, Assign Role or Remove Role (the last two ask for a role code first). Every bulk action asks you to confirm.

The header has three buttons: Create User, Export and Import.

Create a user ​

Create User asks for Username, Email, Mobile and Password (all required). Username and email must be unique within your organization; if one is already taken, the form tells you which field to fix.

Import and export ​

  • Export downloads the user list.
  • Import takes a CSV or XLSX file with the columns employee_id, username, email, role, department, status, and shows a summary of what was created and what was skipped.

The user detail drawer ​

Click a user to open a drawer with six sections:

  • Overview — the account record (ID, username, email, mobile, status, created and updated dates, who created it). Below it you can edit the display name and employee code, search for an employee and link the account to them, and use the buttons Activate, Deactivate, Lock, Unlock and Reset Password (issues a temporary password).
  • Access & Roles — the roles assigned to the user. Click a role to remove it; pick a role and press Assign Role to add one.
  • Sessions — the user's active sessions. Click one to sign it out, or press Revoke All Sessions.
  • Login History — recent sign-ins.
  • Audit History — changes made to this account.
  • Organization Scope — choose what part of the organization the user is meant to see: All (unrestricted), Selected Org Units, Self Only or Reporting Tree. For Selected Org Units, enter the org unit IDs as a JSON list, for example [12, 15].

What to know ​

  • Organization Scope is recorded but not yet enforced. Saving it stores the choice; no HCM screen filters records by it yet, so it does not restrict what the user can see today.
  • Role assignment here is for platform roles. HCM roles and their permissions are managed in HCM Roles & Permissions.
  • A user's status controls whether they can sign in: Locked, Inactive, Disabled and Suspended accounts cannot.
  • On a phone the list stacks into cards and the drawer fits the screen; the create and import dialogs are single-column.
